Simplification

Remember when you entered your password to open your computer, then logged into the ERP system, then to logged into the expense report system, then to log into…… Once Single Sign On (SSO) was implemented, that headache was resolved and our lives became simpler.

Moving from paper to digital systems was supposed to make our lives simpler, as well. In many ways it has, but how many folders to did you look through today to find the file you created last week? How many software systems did you log in to (hopefully with SSO) to gather data for the monthly metrics reporting? How many documents did you read to learn how to create a new procedure? Perhaps more simplification is needed.

Making the complex simple is a key element of Information Management. Where to begin? Begin with what is causing the greatest headache. Let's use the example of how to create a procedure. The basic steps should be:


  1. Locate a template

  2. Write the document

  3. Have a peer or SME review the document

  4. Send the document for approval

  5. Release the document for use


In your organization, do you know how to do this process? How many documents do you need to reference? Are there separate documents for each step and probably some sub-steps for training and notification? What if you could simply click on one document and have all of the information you need? That would be your ideal future state.

If your overall Information system has become complex, make a list of 5 areas that you would like to simplify. Document the current state. Depict what a simplified state would look like. Finally, dispose of the old process and implement the new one.

Be sure to track your project status. In addition to time savings and reduced frustration, there may be some cost savings.
