In our digital age, it is imperative that people and processes remain the focus of any transformation project.  The technology used to capture, store, interpret and share information is simply an enabler to the process.  The methods used to organize and evaluate the information will ensure a successful project.

Comprehensive IM Program

Challenge:

A refinery had an archaic Document Control system with millions of paper and electronic documents across multiple platforms.  There was no formal Information or Document Control program in place.

Solution:

A comprehensive Information Management (IM) system was designed and implemented which included an all new Information Architecture along with Document Management, Records Management, Knowledge Management, Metadata Management, and Governance modules. The project began with the formation of a Steering Committee.  Cross functional management input was critical to ensuring that project progress was conveyed across the organization and ensured alignment with operational goals.  IM policies and procedures were established to ensure appropriate controls were in place for compliance. Users were provided with ‘places to work’ for both structured and unstructured documents. The Roadmap for implementing the system elements also included training and communications plans to ensure that ‘end users’ received the necessary support for transitioning to ‘new ways of working’.

Knowledge Management

Challenge:

Engineering, Mechanical Integrity, Maintenance, and Operations Incident documents were maintained across multiple platforms making it difficult, if not impossible, to locate all documents for a single piece of equipment.

Solution:

A comprehensive Asset Information Management system was implemented that aggregated engineering design, mechanical integrity, maintenance, and operational incident reports in a single repository.  Users selected a piece of equipment or process unit and viewed associated engineering ‘smart’ drawings (including P&IDs), maintenance records, equipment manuals, inspection records, and incident records on a single screen. Distilling 2 million documents to the 1 required document in < 5 mouse clicks improves efficiency and reduces frustration.

IM Governance

Challenge:

The client's Information Management program was undergoing a comprehensive revision.  There was a need to establish an IM Strategy and Policy.  Additionally, hundreds of procedures existed with duplicate versions and conflicting instructions across multiple departments. 

 

Solution:

Guidance was provided for the realignment of the IM program in accordance with the corporate Organizational Excellence Strategy.  The IM Strategy and Policy were developed so that they flowed directly from the corporate goals. The pillars of the IM strategy were established, and associated policies and standards written. The charter for the Steering Committee was developed defining detailed goals, members, roles and responsibilities, and meeting cadence.  A comprehensive evaluation of existing procedures was performed. Existing Standards and Procedures were revised in accordance with the new program and new documents were created.
